How We Use Your Information
We use the information we collect to deliver our services, communicate with you about appointments and your care, send requested newsletters or marketing (which you can unsubscribe from at any time), and maintain records for continuity of care and legitimate business purposes. We do not use contact-form submissions for marketing.
Sensitive Client Health & Wellness Information
We may need to collect the sensitive data pertaining to your health in order to deliver our health and wellness coaching services.
We require your explicit consent for processing sensitive data, so when you submit your details, we will send you a further communication asking for you to confirm your consent to this processing.
Where we are required to collect personal data by law, or under the terms of the contract between us and you do not provide us with that data when requested, we may not be able to perform the contract (for example, to deliver goods or services to you). As a somatic movement coach and Gyrotonic practitioner, clients often share information about physical sensations, movement patterns, and personal experiences during sessions. Here is exactly what we do — and don't — do with that information.
We are not a HIPAA-covered entity
Dawn Strom Coaching LLC operates as a Complementary and Alternative Health Practitioner and Coach in Minnesota. Dawn Strom Coaching LLC does not bill insurance and is not a HIPAA-covered entity or business associate. This means HIPAA's legal protections do not apply to our practice. We take client privacy seriously regardless, through the practices described below, but please do not share formal medical diagnoses, lab results, or other protected health information with us through our forms and systems — our systems are not built to store that category of data securely, and we ask clients to keep that kind of information with their medical providers.
You are responsible for the information you choose to submit or share with us. Please do not submit protected health information, medical diagnoses, lab results, or other sensitive medical records through our forms, messaging platforms, or during sessions.
What records we keep
To support your progress, I keep session notes that may include: movement and breath observations, nervous system state, somatic patterns and progress toward movement exercises and goals. I do not record medical diagnoses, treatments, or health conditions.
Where your information is stored
We store client information — including scheduling, session notes, and communications — in reputable, password-protected, third-party business platforms that use industry-standard security practices such as encryption in transit and access controls. As noted above, we are not a HIPAA-covered entity, since we do not bill insurance or handle protected health information as a medical provider — so HIPAA requirements do not apply to our practice or the tools we use.

Data Retention
We retain client records for two years following your last date of service, after which they are securely deleted from our systems. If you'd like your records deleted sooner, or would like a copy of what we hold, email info@dawnstrom.com.
Data Security
Client information is kept in password-protected systems accessible only to Dawn Strom and her team. We use standard security measures (encryption in transit, secured accounts) but no online system is 100% secure, and we can't guarantee absolute security of information transmitted electronically.
Third-Party Disclosure
We do not sell, trade, or otherwise transfer your personally identifiable information to outside parties, except to trusted service providers (such as our scheduling and payment platforms) who need it to help operate our business, and who are required to keep it confidential.
